Secretary and Member of PMO
REPA is looking for an experienced and multitasks handling Secretary to plan, manage, and direct our administrative tasks (independently). With at least a Bachelor’s degree most preferably in Administration, Marketing, Engineering, Technical fields, or in related fields to Academic Researches.
Mainly, serves as a focal point for the entire organization process and assets, coordinates communications, balance resources, provides assistance in support of planning and project implementation.

Duties and Responsibilities:

Response to calls, emails, and routine letters; direct inquiries to the appropriate person and target audiences
-
Maintains content management and filing systems
-
Track inventory of office supplies and order more when necessary
-
Write and distribute routine weekly correspondence (for news and social media)
-
Assists in the production and editing of original content for the website
-
Compile data and prepare monthly and quarterly reports
-
Maintains updated contact information for company employees, suppliers, customers, and stakeholders
-
Serves as a focal point on REPA activities to develop strategic partnerships with stakeholders
-
Organizes and executes special events, coordinating with diverse partners and the media
-
Plans, coordinates and manages communication strategy prepares meetings schedule, agenda, communication plan, tools, and formats

Provides guidance and training to junior staff and interns (if needed)

Make travel arrangements for office personnel

Functions as backup on administrative and financial matters.

Supports the works of the top management.

Performs other duties as assigned.
Requirements and Qualifications:
-
At least Bachelor Degree (Preferably in Administration, Marketing, Engineering, Technical fields, or in related fields to Academic Researches)

Writing and speaking ability in English (preferably + Japanese, Persian)

1+ years of experience in a secretarial role preferred

Self-motivated, well-organized, objective-oriented, multi-task-oriented, innovative-oriented

Managerial Skills: Creates a centralized structure of inputs, tools, and techniques; Establishes a clear directive and managerial roadmap at PMO level; Creates opportunity and adds value to services and products; Creates clear objectives, manageable plans, and clear framework

Traveling interest and ability to different countries to manage and/or supervise our conferences

Familiarity with using administrative tools and techniques

Excellent communication and time-management skills
